What's a CRM? And what use is it to my small business?
Being well prepared and organised makes a big impression when you're talking to a prospect or
sales lead. (Or even when approaching an existing client.). Knowing when you last spoke with someone, and what you
discussed, makes a huge difference. That's why a CRM (Customer Relationship Management) system is so vital -
especially for smaller businesses. In fact, the smaller your team, the more vital it is to use this kind of tool to
automate your sales.
Each day we meet many people. Lots of phone calls, emails, notes, follow-ups, and tasks. It's easy to
get confused. And even easier to lose people in the flow. Especially if you run a small operation.
Who is this person again? When did we last speak? About what? Who else from the firm is talking to to this
person? What’s the next step? A CRM keeps track of each person important to you, and each commitment.

When you use a CRM, leads, prospects, and clients and their communication history can be shared across
your company. No more “Dave has the customer's number and he’s out of the office today.” No more
“I don’t know what Janet told the foreman last week.” No more “Oops, I didn’t know you already called her
back, because I just did too.” With a good CRM, everyone is always on the same page.
Peter Drucker said that a business exists to create clients. A CRM is the best way to look
after clients - from the time that they're strangers until they're raving fans. A CRM adds immense value when you
want to sell the business, because it makes it easy for a new manager to step in.
A CRM ensures that no salesperson can run off with your clients - whether maliciously or
otherwise.
A CRM helps you make sense of your entire sales and marketing process, and automate much of
it.
I have been using CRM software since 1989. Since then the products have advanced hugely, and the software you
can get right now is better than the best corporate systems of ten years ago. What's more, you can get it for
free! (Genuine, no-strings-attached free!)
And that's what this webinar is about. In my case, my CRM system allows me to keep track of discussions I had
years ago, and to know what people bought back then. That's useful because these same folk are still my clients now
- only because my system would not lose them.
Did I get more than my money's worth? If I apply what I was shown, yes, many many times. Should I not
apply what I was shown, even then yes!

Over time I have used almost all of the systems on the market. Most of them are pretty good, but that
comes at a steep price. There's ACT, Maximizer, and Goldmine - for Windows desktops. And Daylite (for
Apple). Loaded with features, but rather expensive.
Maybe that pricing is why so few of us use systems like this. The desktop systems start at R1500 per PC,
and rapidly get expensive if you have more than one person in your team. (Or more than one branch in your
business.)
Then there are a bunch of great online products like Salesforce, Highrise, and Sugar - mostly
hosted overseas - for which you pay in the order of $500/year per user. The problem here is that the SA Internet
tends to be a tad flaky, and there is no greater frustration than not being able to reach your client
database.
And then there is the solution I want to share in this webinar
because it has served me so well.
- The CRM software is free.
- You can run it on your own PC or laptop (whether that is Mac, Windows, or Linux, or any
combination).
- If you want, any employee can work on the same database, no matter where in the world
they are.
- And when you grow, you can drop this same system onto your office network, for

charge.
- In other words, it's scalable to any size you can conceive of.
